Coach Hire Leeds

Picture this: your group of football fans, colleagues or friends gather in a local car park at 4.45pm on Friday afternoon to travel on to a match, concert or function together. What happens? Leeds weather. Arguing about who's driving. Someone realises they've left their car keys in the kitchen at home. Eventually six separate cars leave the car park, never to see each other again.

Now picture the alternative; the same group of people climb on board a comfortable coach with working air conditioning and a stereo where you control the playlist. Everyone relaxes and settles into a seat and your local Leeds based coach hire company knows every nook and cranny of West Yorkshire and finds you the perfect lay-by for a pee stop en-route to Elland Road or wherever in the Yorkshire Dales, whilst dodging Chain Bar on the M621 at 5pm on a Friday (don't ask).

The list goes on, but with over 15 years experience of using Leeds as our home patch and on many thousands of miles driven on the roads here we wanted to pass on some valuable hints when hiring a Leeds based coach hire firm to organise your next big group trip.

Lesson One: The Brochure is Lying to You

Ok, that may not be 100% true, but here's a gem; when a Leeds coach hire company states that the vehicle has a "maximum passenger capacity", it's assuming that the people don't have any luggage! This can be an issue on short urban trips, but can really bite you in the butt on trips away for a weekend or further field trips. If you tell the Leeds based coach hire company what you need straight away, they should take it into account, and advise you if this means they can only take fewer passengers than they might be able to in an empty situation. A nightmare situation which has happened to us is when a client called to organise a weekend away in the Dales and told us "I need a 53-seater for 53 people." The trip was eventually organised, but with 53 giant suitcases the luggage area filled up at passenger number 38, and for the next two hours 15 passengers travelled with suitcases on their knees!

Here's a realistic breakdown to help you avoid this:

Vehicle Type Max Pax (Brochure) Real-World Comfort Pax Luggage Reality Best For Local Leeds Quirks
Minibus 16 12-14 2-3 small bags max. Airport runs, small pub trips. Can access tighter streets (like parts of Headingley), but limited legroom.
Midi Coach 33 25-28 1 medium suitcase per person. School trips, corporate away days. Good middle-ground. Fits in most standard hotel car parks.
Standard Coach 53 40-45 (with luggage) 1 large suitcase + hand luggage per person. Match days, large weddings, tours. Needs wide access. Cannot navigate the tight corners around Leeds Train Station.
Executive / Double 70+ 50-60 (with luggage) Maximum underbelly storage. VIP events, multi-day European trips. Very long (13m+). Requires specific, pre-agreed drop-off points.

Lesson Two: The Cheapest Quote is Rarely the Cheapest Trip

When receiving three coach hire quotes, say for a school excursion from Leeds, and two Leeds coach hire companies come back at around £400 and the other is £250 it would be understandable that a lot of organisers would go for the "bargain". However, if only they knew what wasn't included in that price. Before the wheels of that £250 coach even creak off the kerb the phone will start ringing; charges for extra miles, charges for waiting time, parking charges and driver subsistence charges. It can soon add up, and leave the organiser cursing their choice of coach hire firm. However, by hiring a Leeds coach hire firm who tell you straight out what their quote does and doesn't include, then you can avoid these pitfalls. By 2026 it should be the norm for quotes to state what's included; allowed number of miles, waiting time, driver's subsistence etc and although another Leeds coach hire firm may quote £50 more, if it's all included and the other £250 quote charges £10's and £20's along the way, then you can see who gave the best price.

See Price Estimates
Journey Type Realistic Base Cost What's Included The Variables That Will Change Your Price
Half Day (Up to 5 hrs) From £200 Vehicle, driver, fuel, insurance. Waiting time: If the event runs over, you pay per hour.
Traffic: Heavy M621 traffic eats into your 5 hours.
Full Day (Up to 10 hrs) From £320 Vehicle, driver, fuel, insurance. Mileage: Most quotes include a set mileage (e.g., 100 miles). You pay extra per mile after that.
Multi-Day / Tour From £480 per day Vehicle, driver, fuel. Driver Subs: You must pay for the driver's hotel and meals.
Dead Mileage: Cost of them driving to the start point.
Match Day Special From 15% surcharge Standard full day rate + premium. Demand: Leeds United home games at Elland Road mean massive traffic and high demand. Book months in advance.

Lesson Three: Leeds Geography is Not Forgiving

This is a biggie and probably where a Leeds based coach hire company will really earn their money. Leeds has its quirks when it comes to manoeuvring a large vehicle through it. Some areas are ok for coaches, some are not. Some bridges will allow small coaches through, but would buckle under the weight of a 14 metre long executive coach. Areas of Leeds are now or becoming pedestrianised (conveniently centred on Victoria Leeds and The Calls!) whilst others such as The Headrow have bus lanes and restrictions which vary on the day. Add into the mix trying to negotiate a double decker coach down some of Headingley's more charming (read tiny) roads and you can see why having a local coach hire firm is more than just a gimmick; it's a necessity. We can save time, money on wasted fuel and embarrassments by knowing exactly where to go (and where not to!) in Leeds, and can suggest to clients the best places to drop-off groups so we can legally park up safely during their visit.

Lesson Four: The Driver is Legally Bound by the Tachograph

This can trip up organisers at functions and events. Even if your Leeds based coach hire driver is parked up during your event they are actually legally "on duty" as governed by EU and UK laws and monitored by the digital tachograph. This means that if an event is meant to finish at 7pm but runs over by two hours, the Leeds coach hire firm's driver could well be exceeding his/her allowed driving time, and not be legally allowed to drive your group back to base! Make sure when organising the event itinerary with the Leeds based coach hire firm that "driver breaks" are included in the timings.

Lesson Five: Accreditation is Not Just a Badge

As touched on above, by using a Leeds based coach hire firm which is accredited by a recognised body in the industry, you know you're in safe hands. These bodies such as the CPT (Confederation of Passenger Transport) or the RHA (Road Haulage Association) regularly audit members to ensure high standards of vehicle maintenance, insurance, driver vetting and a whole raft of other aspects are being observed.

The Bottom Line

By hiring a Leeds based coach hire firm to take your group somewhere special you're hiring much more than just a coach. You're hiring years of knowledge and expertise in and around Leeds; saving yourself the worry of trying to navigate the restrictions, trying to find somewhere to park and worrying about the fine print. It's literally buying peace of mind.

Frequently Asked Questions

How far in advance should I reserve a minibus, shuttle coach or other type of people carrier?

It really depends on availability but our standard vehicles do get booked out quite quickly and if you're after a vehicle for a weekend we would advise booking 4 to 6 weeks in advance if at all possible. We are often used for transport to special events and for these it's always advisable to get hold of a transport quote asap in order to reserve a coach in case others have already reserved all our vehicles for that date.

Is there an extra charge to travel on a Leeds United match day?

Due to the delays and onerous traffic restrictions a surcharge applies starting from 15%. It's advisable to reserve a minibus or coach asap if travelling on a match day.

What's included in the cost of your services?

All our quotes are for the vehicle with driver, insurance and fuel. Quotes do not however include charges such as; waiting or overtime charges, charges for mileage in excess of any free mileage included e.g. 100 miles, subsistence e.g hotels or drivers meals for long or multi day journeys and any charges for parking in the Leeds city centre.

Do you charge overtime?

If a hire exceeds the agreed timings this will attract an overtime charge. This is charged on a hourly rate basis and calculated after the job. Please note however, on Half or Full Day hires you could incur waiting time charges.

What if I need to change or cancel my booking?

Depending on how close to the day of travel a cancellation or change request is received a small admin fee may be levied.

Can I travel into the Leeds City Centre?

Leeds has many bus lanes, weight restricted areas and pedestrian areas which we cannot legally drive in so if you're travelling into areas such as The Calls, Victoria Leeds shopping centre and even Headingley it's important that we plan suitable pick up/drop off points accordingly to ensure we get you there and away safely and within the law.

Can you help me if my group is kept waiting causing you to exceed your driving time?

By law drivers are limited to how long they can drive for and are obliged to take breaks. All our vehicles have a digital tachograph fitted which records the amount of time driven, waiting time and rest breaks so unfortunately if this happens we may not legally be able to drive on.

What sort of licence does a Minibus Hire Leeds driver have?

All Minibus Hire Leeds drivers have a full D1 licence, a drivers CPC (Certificate of Professional Competence) and a DBS check.

Are Minibus Hire Leeds' vehicles serviced and road worthy?

Minibus Hire Leeds are a proud member of the Confederation of Passenger Transport (CPT) so you can be assured all coaches are regularly maintained and serviced and in full posession of a current MOT.

Is it OK to have drinks on board?

For Private Parties only (i.e Hen/ Stag dos, company parties, Weddings etc.) alcohol is allowed on board Minibus Hire Leeds vehicles. As always common sense rules apply and although we don't ask how much alcohol you'll be taking, please don't forget a "53-seater" with "Max Pax" of "53" could well mean there isn't much room to spare for lots of bottles! Furthermore, for everyone's safety no GLASS is allowed on board our vehicles, only plastic/cans are permitted and the driver reserves the right to withhold permission for drinks on board if any member of the group appears to have partaken of more than they bargained for!

Do you have Wheelchair accessible vehicles?

Yes we do however these do get booked quite quickly so reserve asap if you know you'll need one. All our W/C accessible vehicles are fitted with wheelchair tie downs and a ramp.

How much luggage can we take?

This depends on the vehicle and the numbers travelling of course but as an example if all 53 seats on one of our "53-seater" buses is likely to be in use there will only be limited space for a number of suitcases. As a rough guide if a group of say 40 to 45 pax are travelling on a 53-seater each traveller would have space in the under belly racks for their hand luggage and 1 large case each.
